Deployment of Microsoft Office 365 at the Department of Computer Science has started March 16, 2015. The use of Microsoft Office 365 will be launched in the entire university during the year 2015. In the first phase, email and calendar services were made available. Later on, instant messaging service Lync, file storage system OneDrive, community service Yammer and Office Online web services have been (or will be) added to the mix. The IT Center provides Helpdesk and on-site support services for the deployment.

Features

What should I know?

• Deployment of Office 365 is quite voluntary - you do not have to do anything immediately but you should at least consider the deployment.
• The common calendar may become an important tool. You probably need the calendar anyway, even if you do not plan to use Microsoft Office 365 as your mail service provider
• The old mail systems (mappi and unix-mail) will eventually be phased out.
• The local departmental cs.helsinki.fi mail system will continue to be available.
• Office 365 is a cloud service - your data will be stored within the European Union.
• Metadata (who sent what to whom when) can be stored anywhere.
• Everything is stored in at least two Microsoft data centers.
• The University does not offer Office 365 email backup or restore.
• When you active your Office 365 account you get a pool of five licenses for the latest Office suite. You can install them on any home machines and you can even return these licenses to the pool if you later decide to uninstall Office on some machine.

The following instructions consern mainly users using the ubiquos Outlook Web App to access their email, not so much users using the Windows Outlook 2013 desktop application.

What should I do?

1. You should first read the End User Licence Agreement (EULA): Terms of use for Microsoft Office 365 cloud services (in Flamma). Some people might be interested to take a look at the Microsoft Online Services Data Processing Agreement (with EU Standard Contractual Clauses)¹ which actually, among other things, defines the privacy and security terms of the service.
2. Activate your Office 365 account (mailbox and calendar).
3. Wait until the next morning. Check that you have received the notification that your Office 365 account is ready. You will get the notification into your current firstname.lastname@helsinki.fi mailbox (mappi or cs.helsinki.fi if you have previously forwarded your helsinki.fi mail to cs.helsinki.fi). Overnight, your helsinki.fi mail address has been automatically re-routed to Microsoft Office 365.
4. Decide where you want to read your email.
   • Case A: You have used cs.helsinki.fi mail and want to continue to do so
     
     1. Login to office365.helsinki.fi and select mail forwarding by clicking
         ... Options ... account ... connected accounts ... forwarding   or
         ... Options ... (Mail / Accounts) ... Forwarding
        depending the OWA version in use.
     2. Enter username@cs.helsinki.fi as the forwarding address.
   • Case B: You have used cs.helsinki.fi mail and want to switch to Office 365
     
     1. Use the forwading tool at mail.cs.helsinki.fi/forward and select
        Forward all my mail to the Microsoft Office 365 cloud service of the University.
     2. If you later change your mind you can use the same tool to revert your choice by selecting
        Do not forward my mail to the Microsoft Office 365 cloud, but use the local mail system of the Department.
   • Case C: You have used mappi (webmail.helsinki.fi) and want to switch to Office 365
     
     1. Use the forwading tool at mail.cs.helsinki.fi/forward and select
        Forward all my mail to the Microsoft Office 365 cloud service of the University.
     2. Login to webmail.helsinki.fi and set forwarding from mappi to username@office365.helsinki.fi. This for the case where somebody sends you mail directly to mappi. See IT Center instructions.
   • Case D: You have used mappi (webmail.helsinki.fi) but want to switch to cs.helsinki.fi mail
     
     1. Use the forwading tool at mail.cs.helsinki.fi/forward and select
        Do not forward my mail to the Microsoft Office 365 cloud, but use the local mail system of the Department.
     2. Login to office365.helsinki.fi and select mail forwarding by clicking
         ... Options ... account ... connected accounts ... forwarding   or
         ... Options ... (Mail / Accounts) ... Forwarding
        depending the OWA version in use.
     3. Enter username@cs.helsinki.fi as the forwarding address.
     4. Login to webmail.helsinki.fi and set forwarding from mappi to username@cs.helsinki.fi. See IT Center instructions.
   • Case E: You have forwarded you mail somewhere else through mappi and/or cs.helsinki.fi
     
     1. Login to office365.helsinki.fi and create another mail forwarding by clicking
         ... Options ... account ... connected accounts ... forwarding   or
         ... Options ... (Mail / Accounts) ... Forwarding
        depending the OWA version in use.
     2. Enter your forwarding address.
     3. Remember that university personnel should not forward their email outside the University (except Microsoft Office 365). See instructions (in Flamma).

Using Office 365 on mobile devices

Do not use the Microsoft apps Outlook for iOS or Outlook for Android. These apps submit all the credentials information, including your password, back to Microsoft. This is against the University's user policy. The IT center helpdesk has good instructions how to use Office 365 on Windows 8 phones, iPhones and iPads", and Android devices. However, for Android users we recommend the excellent Aqua Mail app, especially with the paid 4 € key.

Synchronizing Office 365 and Google calendars

Many users would like to do this but this is not possible. There exists some (usually paid) services which try to accomplish this but they are not real-time and are usually incomplete. Microsoft's official advice, essentially, is to stop using Google calendar and migrate to their service. However, with mobile Android and iOS devices and Macs you can view both Office 365 and Google calenders in the same application. We are unaware of any web based service for this.

Office 365 (OWA) compatible browsers and devices

Fully supported: Edge, IE 11 or later (Windows), Firefox 35 or later (Windows/Linux), Chrome 40 or later (Windows/Linux), Safari 7 or later (OS X), Windows Phone 8 or 10. Other browsers and devices may be only partially supported, some only by the OWA light version.

Käyttöönotto tietojenkäsittelytieteen laitoksella

Microsoft Office 365:n käyttöönotto tietojenkäsittelytieteen laitoksella alkoi 16. maaliskuuta 2015. Microsoft Office 365 otetaan käyttöön koko yliopistolla vuoden 2015 aikana. Ensi vaiheessa tarjolle tulivat sähköposti ja kalenteri. Myöhemmin käyttöön on tullut (tai tulee) pikaviestipalvelu Lync, OneDrive-tallennustila sekä yhteisöpalvelu Yammer ja Office Online -verkkopalvelut. Tietotekniikkakeskus tarjoaa käyttöönottoon sekä Helpdeskin että lähituen palvelut.

Mitä minun tulisi tietää?

• Office 365:n käyttöönotto on täysin vapaaehtoista - mitään ei ole pakko tehdä välittömästi, mutta käyttöönottoa kannattaa harkita.
• Yliopiston yhteinen kalenteri saattaa muodostua tärkeäksi työkaluksi. Tulet todennäköisesti joka tapauksessa tarvitsemaan kalenteria, vaikka et suunnittelisikaan siirtyväsi käyttämään Office 365 -postipalvelua.
• Vanhojen postijärjestelmien (mappi ja unix-posti) käyttö päättyy myöhemmin ilmoitettavana ajankohtana.
• Tietojenkäsittelytieteen laitoksen paikallinen cs.helsinki.fi-posti säilyy entisellään.
• Office 365 on pilvipalvelu - data talletetaan Euroopan unionin alueelle.
• Metadata (kuka lähetti mitä kenelle milloin) voi olla talletettu minne tahansa.
• Kaikki on tallennettuna vähintään kahdessa Microsoftin datakeskuksessa.
• Yliopisto ei tarjoa Office 365:n postin varmuuskopiontia tai palautusta.
• Jos aktivoit Office 365 -tilisi, saat käyttöösi viisi tuoreimman Office-paketin lisenssiä. Voit installoida Officen mille tahansa kotikoneellesi ja mikäli joskus poistat asennuksen, niin lisenssisi palautuu uudelleen käytettäväksi.

Seuraavat ohjeet koskevat pääasiallisesti käyttäjiä, jotka käsittelevät postiaan kaikkialla saatavilla olevalla Outlook Web App www-palvelulla, ei niinkään Windows Outlook 2013 työpöytäsovelluksen käyttäjiä.

Mitä minun tulisi tehdä?

1. Lue ensin loppukäyttäjän lisenssisopimus (EULA): Microsoft Office 365 -pilvipalvelujen käyttöehdot (Flammassa). Jotkut käyttäjät saattavat olla kiinnostuneita dokumentista Microsoft Online Services Data Processing Agreement (with EU Standard Contractual Clauses)¹, joka muiden asioiden ohessa määrittelee palvelun yksityisyyteen ja turvallisuuteen liittyvät seikat.
2. Aktivoi Office 365 -tilisi (sähköposti ja kalenteri).
3. Odota seuraavaan aamuun. Tarkasta, että vahvistus siitä, että Office 365 -tilisi on luotu, on saapunut. Vahvistus lähetetään nykyiseen etunimi.sukunimi@helsinki.fi sähköpostiisi (mappiin tai cs.helsinki.fi-postiin, jos olet ohjannut helsinki.fi-postin cs.helsinki.fi-osoitteeseesi). Yön aikana helsinki.fi-postiosoitteesi on uudelleenohjattu automaattisesti Microsoft Office 365:een.
4. Päätä ja valitse, mistä postijärjestelmästä aiot lukea postisi.
   • Tapaus A: Olet käyttänyt cs.helsinki.fi-postia ja haluat jatkaa sen käyttämistä
     
     1. Kirjaudu palveluun office365.helsinki.fi ja valitse postin edelleenlähetys napsauttamalla
        ... Asetukset ... tili ... liitetyt tilit ... edelleenlähetys   tai
        ... Asetukset ... (Posti / Tilit) ... Edelleenlähetys
        riippuen käytössä olevasta OWA-versiosta.
     2. Syötä tunnus@cs.helsinki.fi edelleenlähetysosoitteeksi.
   • Tapaus B: Olet käyttänyt cs.helsinki.fi-postia, mutta haluat sen vaihtaa Office 365:een
     
     1. Käytä edelleenlähetystyökalua paikassa mail.cs.helsinki.fi/forward ja valitse
        Ohjaa kaikki postini yliopiston Microsoft Office 365 -pilvipalveluun.
     2. Jos muutat mieltäsi myöhemmin, niin voit käyttää samaa työkalua ja valita vaihtoehdon
        Älä ohjaa postiani Microsoft Office 365 -pilvipalveluun. Käytä laitoksen paikallista postijärjestelmää.

     3. Muista, että yliopiston henkilökunnan ei tulisi lähettää postiaan edelleen yliopiston ulkopuolelle (paitsi Microsoft Office 365:een). Katso ohjetta (Flammassa).

Office 365:n käyttö mobiililaitteilla

Älä asenna Microsoftin sovelluksia Outlook for iOS tai Outlook for Android. Nämä sovellukset lähettävät kaikki käyttöoikeustiedot, mukaanlukien salasanasi, Microsoftille. Yliopiston käyttösääntöjen mukaan käyttäjätunnusta ja salasanaa ei saa koskaan luovuttaa ulkopuolisille. Tietotekniikkakeskuksen helpdeskissä on hyvät ohjeet Office 365:n käytöstä Windows 8 -puhelimilla, iPhoneilla ja iPadeillä sekä Android-laitteilla. Android-laitteiden käyttäjille suosittelemme kuitenkin erinomaisen Aqua Mail -sovelluksen ja sen lukitukset avaavan 4 € avaimen hankkimista.

Office 365:n ja Googlen kalenteriden synkronointi

Monilla käyttäjillä olisi tarvetta tälle, mutta se ei ole mahdollista. On olemassa joitakin (tavallisesti maksullisia) palveluita, jotka yrittävät toteuttaa tämän, mutta ne eivät toimi tosiaikaisesti ja ovat yleensä puutteellisia. Microsoftin virallinen ohje on periaatteessa lopettaa Googlen kalentereiden käyttö ja siirtyä käyttämään heidän palveluaan. Android- ja iOS-mobiililaitteilla ja Maceillä saa kuitenkin sekä Office 365:n että Googlen kalenterit näkymään samassa sovelluksessa. Tiedossamme ei ole www-sovellusta, joka toteuttaisi tämän.

Office 365 (OWA) -yhteensopivat selaimet ja laitteet

Täysin tuetut: Edge, IE 11 tai uudempi (Windows), Firefox 35 tai uudempi (Windows/Linux), Chrome 40 tai uudempi (Windows/Linux), Safari 7 tai uudempi (OS X), Windows Phone 8 tai 10. Muut selaimet ja laitteet saattavat olla vain osittain tuettuja, jotkin mahdollisesti vain OWA light -versiossa.
